How to handle proration on hybrid plans during upgrades and downgrades
October 21, 2026
On a hybrid plan (a flat fee plus usage), proration applies to the flat part only: the old fee is credited for the unused days, the new fee is charged for the remaining days, and usage stays billed on actuals, split at the change date so each unit is priced at the rate that applied when it was consumed. Upgrades usually take effect immediately with a prorated charge, while downgrades usually take effect at the next renewal date to avoid credits. A quote-to-cash platform that links proration to the contract amendment keeps the invoice, the contract and ARR consistent.
What gets prorated and what does not
A hybrid plan has components that behave differently when the plan changes mid-period:
- Flat recurring fees (platform fee, seat licenses) are billed in advance. When the plan changes, the unused portion of the old fee and the remaining portion of the new fee are calculated by days or by seconds, depending on the platform setting.
- Usage charges are billed in arrears on what was consumed. There is nothing to prorate, but the usage has to be split at the change date if the unit price changes with the plan.
- Included allowances (for example, 100,000 API calls included in the fee) are the tricky part. If the allowance is monthly and the plan changes on day 10, the contract should say whether the new allowance is prorated, granted in full, or applied only from the next period.
- One-time fees (onboarding, setup) are not prorated.
A worked example: mid-month upgrade
A made-up example, for illustration only. A customer is on the Growth plan:
- $2,000 per month platform fee, billed in advance on the 1st.
- $0.05 per API call, billed in arrears.
On day 11 of a 30-day month, they upgrade to Scale:
- $3,500 per month platform fee.
- $0.04 per API call.
Proration of the flat fee, by day:
| Line | Calculation | Amount |
|---|---|---|
| Credit for unused Growth fee | $2,000 x 20/30 | -$1,333.33 |
| Charge for remaining Scale fee | $3,500 x 20/30 | $2,333.33 |
| Net prorated charge | $1,000.00 |
Usage for the month: 40,000 calls on days 1 to 10 and 110,000 calls on days 11 to 30. The end-of-month usage invoice reads 40,000 x $0.05 = $2,000 plus 110,000 x $0.04 = $4,400, for $6,400 in total. Rating all 150,000 calls at the new rate would have under-billed by $400; rating them all at the old rate would have over-billed by $1,100.
The prorated $1,000 can go on an immediate invoice or be added to the next one. Immediate invoicing is common for upgrades, because the customer gets the new plan right away and the charge matches what they just agreed to.
Downgrades
Downgrades follow the same arithmetic in reverse, which produces a credit. Most B2B contracts avoid mid-term credits for two reasons: the customer committed to the higher plan for the term, and a credit reduces revenue already recognized. The common patterns are:
- Downgrade at renewal. The change is recorded now and takes effect on the next renewal date. No proration.
- Immediate downgrade with credit to balance. The prorated credit is held on the account and applied to the next invoice, rather than refunded.
- Immediate downgrade, no credit. Allowed only when the contract says so, typically for monthly self-serve plans.
Whatever the rule, it should be set per plan or per contract, so sales can sell an annual plan with no mid-term downgrade and a monthly plan with immediate changes in the same system.
Common pitfalls
Proration handled outside the contract. If finance computes the prorated charge by hand and posts a one-off invoice line, the contract still shows the old plan and ARR is wrong until someone fixes it. The amendment and the proration should be the same event. See best quote-to-cash software for contract amendments.
Usage rated at a single rate for the month. The rating engine needs to know the effective date of the price change, not just the plan at invoice time.
Allowance proration left undefined. If 100,000 included calls become 300,000 on day 11, is the month’s allowance 100,000, 300,000 or a prorated 233,333? Each answer changes the overage. Write it in the plan terms.
Calendar vs. anniversary billing. Proration by “30 days” and proration by actual calendar days give different amounts in February or 31-day months. Pick one method and keep it.
Multiple changes in one period. A customer who upgrades on day 5 and adds seats on day 20 needs two proration lines. Check that the platform stacks them correctly rather than overwriting the first.
What to ask a vendor
- Show a mid-period upgrade on a hybrid plan: prorated flat fee and usage split at the change date on the same invoice.
- Can proration be by day or by second, and can it be turned off per plan?
- Can downgrades be scheduled for the renewal date while upgrades apply immediately?
- How are included usage allowances handled when the plan changes mid-period?
- Is the proration triggered by the contract amendment, and does ARR update on the same date?
- Can the prorated charge be invoiced immediately or deferred to the next invoice, per customer?
Which quote-to-cash platforms document it
The table lists the platforms that document both proration and hybrid pricing, in score order. 36 of the 44 platforms we score document both, and 33 also document contract amendments, the third piece of a clean mid-term change.

FAQ
Is usage prorated when a customer upgrades mid-month?
No. Usage is billed on what was actually consumed. What changes is the rate: units consumed before the upgrade are priced at the old rate and units after it at the new rate. Only flat recurring fees are prorated.
Should downgrades be prorated?
Most B2B contracts do not prorate downgrades mid-term. The downgrade is scheduled for the next renewal date, or any prorated credit is held on the account balance rather than refunded. Monthly self-serve plans are the main exception.
How is the prorated amount calculated?
The usual method is by day: the unused share of the old fee is credited, and the remaining share of the new fee is charged. Some platforms prorate by the second. Use the same method across plans so invoices are predictable.
